This position is responsible for the day to day operation and on-going plan member and vendor management of various US benefit plans and programs including pension and 401(k). Ensure programs being consistently operated and administered in compliance with governmental regulations and company policies. Concentration includes oversight of vendor data/payroll controls, benefit audit work, and support compliance efforts regarding monitoring important employment and benefit related compliance programs and risks. This includes oversight of key data integrations with business vendor partners as well as data risk reviews for P & C policy and procedures.
Principal Duties and Responsibilities
Administers day to day financial wellbeing and retirement programs and practices that support Unum's financialwell-being strategy, including pension, 401k, financial education and consultation and student loan debt.
Work with P & C benefit programs, systems and business segments to manage key controls and help mitigate regulatory risk. This includes key BAU functions such as the biweekly payroll reconciliation for the Unum 401k, Stock, Health Savings Account and LTI integrations with Fidelity and correction of any errors relating to this biweekly work and includes regular oversight of the more frequent client demographic data feeds between Unum and Fidelity.
Administers the Occupational Fraud and Risk Assessment, Personnel file, EDS and document purge policies and processing, as well as the payroll risk register.
Responsible for maintaining workflow process, procedures and controls both internally and with carriers/vendors that meet/exceed all state and federal governance/compliance rules and regulations, conform to Unum's business practices and policies for benefit plans and programs and are consistent with plan/contract provisions and intent.
Responsible for determining on an on-going basis that plan provisions have been interpreted and applied correctly to administrative practices and communicated accurately to employees, retirees and beneficiaries. Consult with supervisor on plan document interpretation and regulatory applicability for more complex issues and provisions particularly where different plan documents or contracts impact interpretation.
Partner with HRIS to complete annual Affirmative Action reporting work, oversee employment law and EEOC postings for each Unum office site and engage with external vendor to oversee the update of office locations and contacts and ensure compliance with delivery of postings at each location.
Through business partnerships, help identify and meet new regulatory requirements by business area and geographies (e.g., the California Consumer Protection Act "CCPA"), including the identification of emerging risk issues.
Audit areas of concentration including benefit programs and SOC requests from Internal Audit relating to P & C areas, data privacy and control/data requests relating to RFP work and redirecting unsuitable requests to other Unum business areas.
Work with Rewards team and manager to facilitate the delivery of high quality, financial wellbeing programs, while identifying opportunities to improve process and operational flow.
Responsible for maintainingongoing vendorworkflows, integrated across a seamless total rewards model, to error-free delivery of the administration of these programs.
Administer a successful annual investment review and an annual Non-Qualified DC plan enrollment window as well as working with our vendor partners in providing the best tools and resources for our employees.
Responsible for processing member elevations from our Service Now team and those forwarded by our vendor partners dealing with sensitive and problem cases and resolving outstanding issues/complaints that are complex in nature and may have elevated to a formal appeal status.
Assist in responding to request from external studies to help benchmark and evaluate competitiveness of Unum's financial benefit programs.
With direction from with the AVP of Financial Wellbeing and VP of Global Total Rewards, periodically conduct review of delivery of benefits withcarriers/vendors to identify key areas of risk or concern. Recommend corrective action with project plans to mitigate or eliminate risk.
Assist in gathering data and participant metrics to help measure the effectiveness of programs to help direct any needs relating to employee education and the continuation of programs based on analytics, employee feedback and alignment with business and financial objectives.
Manage responses to common audit/compliance/RFP questions and serve as RFP liaison for business inquiries.
Serve on the Business Continuity Management Review team.
Responsible for providing staff support to Benefit Administrative Committee on ERISA appeals.
3+ years of experience in employee benefits preferred
