Job Description: This role provides crucial support to three important areas of the Newhouse School: The Goldring Arts Journalism and Communications Program, the budget office and the school's off-campus programs. The role is responsible for administrative, travel-planning and budget coordination that are essential to each area's daily operations and overall success.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.

Responsibilities: BUDGET COORDINATION & SUPPORT
Support reconciliation of credit cards and accounts for budget office, create, manage and update budget spreadsheets.
Maintain department chair and guest speaker discretionary accounts/spreadsheets.
Manage Goldring and off-campus programs' credit card reconciliations, reimbursements and travel expenses for all faculty, students and administration as needed.
Coordinate W9 payments for guest speakers, panelists, guest editors, etc.
Manage travel allowances for students and per diem for faculty.
Track yearly expenses and expenditures for several programs, including the Goldring Program and radio station.
Track Goldring faculty advisor contracts.
ADMINISTRATIVE TASKS
Scan and digitally file monthly reports for budget office.
Maintain Goldring director's calendars; schedule meetings and appointments.
Collect and manage data/records for student internship programs.
Support off-campus programs application review processes.
Assist with management of budget office's branded item inventory/ordering.
TRAVEL & OFF CAMPUS EXPERIENCE COORDINATION
Coordinate student experiences required by programs, such as international benchmark trips, NYC immersions, capstone programs, visits to opera houses and film festivals, and site visits to Newhouse's study away programs in NYC, LA and DC.
Book train and plane fares for students, faculty, and administrators; coordinate vehicles. Communicate timelines and other important experience information to students.
Answer questions and provide support to students as needed.
Secure tickets to events and facilities; make reservations for students, faculty, and administrators at meeting spaces, hotels, and restaurants.
Collaborate with visa office for international trips.
Coordinate capstone housing and oversee student housing reservations.
EVENT PLANNING
Assist with admissions, graduation, family weekend and alumni visits among others.
Maintain annual event calendars.
Coordinate with alumni and industry professionals for visits and panels.
Plan and coordinate logistics relating to advisory board meetings.
Collaborate with offices across campus for joint events.
