What You Will Do
As a critical member of the administrative staff team, the Events Coordinator will proactively support the Brooks School in furthering its academic and research mission. This position aligns our actions with our goals for sustainability and efficiency. The Events Coordinator will work closely with the Dean's office and stakeholders across Brooks, including faculty members and centers and institutes, to plan, implement, and execute events, which often include high-profile speakers and guests to the Brooks School. The right candidate will possess a strong sense of self-awareness and a good attitude and be a leader with superb organizational skills, attention to detail, time management, and excellent presentation, oral and written communication skills. A person in this role must be able to contribute to multiple projects and events in various stages of development and execution. The successful candidate will also be team-oriented, possess a sense of humor, tact, good taste, grace under pressure, and demonstrate discretion at the highest level. Event planning occurs year-round, with the bulk of events happening during the academic year, but some are also held in summer.
Event duties include all pre-event arrangements, including but not limited to developing event planning timelines and communicating to teams and stakeholders, developing and adhering to event budgets, negotiation of contracts that adhere to university policies (e.g., catering, lodging, meeting spaces, travel, speaker arrangements, entertainment), working with School communications and marketing team on all marketing materials, and adhering to production timelines for well-organized events.
During events, the Events Coordinator will be responsible for all aspects of event execution and outcome, including handling attendees, sponsors, speakers, vendors, and staff issues promptly and with discretion. After each event, the Events Coordinator will prepare a post-event document that includes the final budget/reconciliation, a summary of event details, and description of all aspects of the process, as well as recommendations for future improvements. Some travel is required as well as irregular hours during events.
The Events Coordinator will also provide assistance, as needed and requested, for other operational areas within the administrative unit. They will provide a high level of administrative support to Brooks School faculty and academic staff for their teaching, research, and extension activities, including procuring goods and services and assisting with travel arrangements and reimbursements, serving as a reference and problem-solver for these areas. They will ensure activity is well documented and meets university and Brooks School policies and guidelines.
The position will be fully on-site during the first 90-days to enable training and onboarding, with potential to move to a hybrid onsite-remote schedule of 4-1 during the academic year.

Required Qualifications:
- Associates degree with at least two years of relevant experience including evidence of project planning and event management, or an equivalent combination of education and experience is required.
- Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
- Experience incorporating the perspectives of multiple communities, including communities of color.

- Experience researching, adopting, and using new event technology that enhances event planning.
- Superior organizational skills, strong attention to detail, and ability to manage tasks using a project management application.

- Excellent interpersonal skills, including oral (in-person and strong phone etiquette) and written (email and other document development) communications.
- Strong customer service skills, including the ability to be diplomatic and to maintain a professional demeanor under stress related to deadlines.
- Must be able to deal with confidential or sensitive information with tact and discretion.
- Must have a high degree of independent decision-making capabilities that are customer-service centered.
- Experience in managing multiple assignments, working under pressure, and creative problem-solving.
- This position requires occasional travel.
Preferred Qualifications:
- Previous experience working with Cornell systems (e.g., Workday, KFS, Concur, Outlook, Excel, 25Live, etc.)
- Experience with budget creation and analysis.
- Large-scale event planning experience.
- Ability to design and implement project management software systems.
- Experience in higher education and working with faculty.
- Purchasing experience using eSHOP, Procurement Card, and I Want.
- Bachelor's degree in hospitality, marketing, public relations, or business administration.
