Overview:
The incumbent will possess excellent interpersonal and organizational skills, and will be able to communicate and interact professionally and effectively with internal and external constituencies at all levels.
Job Responsibilities:
· Coordinates the calendaring system for the Vice President which includes scheduling appointments, reserving meeting rooms, communicating with other staff internal and external to the University and coordinating logistics to support appointments (such as catering plans, etc.); (20%)
· Screens incoming calls and receives visitors for the Vice President; (15%)
· Maintains filing system relevant to the area supporting the Vice President; (10%)
· Makes travel reservations and maintains records; (10%)
· Coordinates budget activities. Tracking of departmental and divisional forecasted and current budgets; (10%)
· Assists the Vice President with coordination of scheduling, distribution of meeting materials, and records minutes for the Board of Trustee's enrollment committee and other similar meetings; (10%)
· Conducts basic research to support office functions; (5%)
· Participates in the coordination of events designated by the Vice President. Such functions may include data coordination, special mailings; participating in event planning meetings and following up on job-specific responsibilities; (5%)
· Generates timely and relevant updates across University divisions/departments; (5%)
· Participates in coordinating the logistics of performance review and salary review processes for the EM division; (5%)
· Order supplies for the office; (5%)
· Other duties as assigned.
Education / Experience:
A.A.S. Degree in Office Management or similar degree and 5+ years of relevant office experience. Incumbent should have experience working in team and high level assistant roles.
Competencies / Skills:
This role will require excellent time management skills and demonstrated multi-tasking skills as responsibilities will shift in order to support dynamic needs and achievement of the team's goals. The incumbent must be able to handle a workload with unexpected interruptions. This position is often privy to confidential information and as such, requires diplomacy and discretion.
Work Hours:
12 months, 35 hours per week
