Job Description:DEPARTMENT OVERVIEW & POSITION SUMMARY:This part-time, hybrid with the possibility of being a fully remote position, serves as an administrative assistant for the Office of Admissions, attending to organizational and data entry tasks related to admissions records. Failure to do so properly can result in issues with student login, class scheduling and communications.Cross system data management is the primary function of this role. It requires a keen eye for detail and an understanding of how key data points are stored in multiple systemResolves Admissions CRM (Slate) to college Student Information System (Colleague) import errors - duplicates, ambiguities and discrepancies, including person, address, and application duplicates.Maintains clean data records for applicants.Maintains Slate and Colleague data synchronization, and performs checks and audits to the data shared between systems. Completes data entry in Colleague and Slate when necessary.Performs other processes and tasks as required by the Dean of Admission, and Associate Director of Admissions Technology and Operations. These may include application material processing. Communicates regularly with the IT office as it relates to student data.Requirements:REQUIRED QUALIFICATIONS:Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*PREFERRED QUALIFICATIONS:Competency with database management systems such as Technolutions, Slate, Ellucian, Colleague, or other CRM and SIS and Microsoft Word and Excel.Familiarity with a college work environmentKNOWLEDGE, SKILLS, AND ABILITIES:Ensuring optimum service to all internal and external partners, in response to all requests for service and information.Demonstrated commitment in working with diverse populations and furthering diversity, equity, and inclusion in the workplaceStrong communication and customer service skills, spoken and written.Able to communicate college policies and procedures to the publicMust be able to work comfortably in a fast-paced student-driven environmentExcellent computer skills including accurate word-processing and data entry skills.Detail oriented and possess superior organizational skillsMust be able to handle multiple responsibilities simultaneously and capable of adjusting to changing or unpredictable circumstances.Capable of working independently and in a team setting.WORKING CONDITIONS:Ability to type, use a phone, and operate a computer, copier, fax, and other standard office equipment.
