The Program Manager for the Pediatric Oncology Stem Cell Transplantation and Cellular Therapies Program supports the Associate Chief and the Director of the Stem Cell Transplantation and Cellular Therapies Service as well as the programs providers and staff to ensure timely access for patients and smooth operations of scheduling, and operations of the Stem Cell Transplant and Cellular Therapies program. The Program Manager will oversee and support the new patient intake process, the process of transplant coordination, as well as oversee other aspects of coordination that impact these patients, including the interface of the Program with the Cell Manipulation Core Facility (CMCF). The Program Manager will serve as a resource for the collection and analysis of program volume as well as be responsible for completing RFI???s, US News and World Report data for transplant, and working closely with the Cellular Therapies Quality Team on the FACT inspection. He/she will be involved in the implementation of new projects as appropriate and will report to the Associate Director of Disease Center Operations for the Division of Pediatric Hematology/Oncology.
The Program Manager will also function as part of a project management team to initiate projects and systems. He/she has the primary responsibility for managing multiple work streams to ensure that teams are meeting timelines and milestones, as well as managing project logistics and supporting the engagement of project participants. The Program Manager will identify content interdependencies to facilitate knowledge sharing and integration. The Program Manager will manage relevant components of regulatory compliance documentation and reporting. The Program Manager may also provide direct leadership for designated work streams involving planning and coordination of the respective teams??? delivery efforts.?? The Program Manager will work closely with the institution???s Clinical Planning and Network Operations (CPNO), Government Affairs, Managed Care, Population Health Management Program, Marketing and Communications offices, and Quality and Patient Safety Offices, providing the internal support necessary to plan, organize, execute, and evaluate the implementation of efforts to develop new models for continuous care delivery.??
Oversee program-wide effort to improve coordination with referring providers.
Oversee scheduling operations and new patient workflows for the Stem Cell Transplantation and Cellular Therapies team.
Plays a leadership role in coordinating with Access Management to transplant patient financial authorization. Provides critical coordination input to Access Management staff assigned to work on transplant cases and works with the NMDP to ensure appropriate billing and reimbursement of services.
Manages complex operational steps to adhere to private and public payer requirements. Ensures that staff function effectively to meet hospital financial requirements.
Interacts with hospital clinic and inpatient admission, registration, and clinic management teams to ensure full integration of admission and schedule planning for complex transplant and other cell therapy patients.
Takes lead in negotiating scheduling changes with patients and providers when necessary due to capacity constraints
Builds providers templates and reviews them with key stakeholders
Oversee provider access and orientation to the program working closely with key stakeholders.
Provides training and serves as an information resource on all aspects of transplant clinical coordination, including documentation, SOPs, training manuals and reference materials.
Ensures appropriate and effective allocation of staff.
Will apply full knowledge of federal, state, agency, and registry regulatory laws and rules, bylaws, standards and other requirements relevant to stem cell transplant services.
Works closely with the transplant quality unit to ensure that staff activities meet regulatory requirements
Provide internal logistical and content development support to the BMT/BMF Program
Coordinate work as appropriate with Population Management and Quality and Patient Safety Offices
Work with quality assurance personnel to ensure any contracts meet required quality standards
Represent cellular therapies in the Pediatric Clinical Operations Group and other meetings as identified
Provides timely feedback and review of work performance of all staff. Monitors staffing needs and raises concerns regarding workload to appropriate leadership as needed.
Oversee back office Clinical Scheduling Support Staff and work in close collaboration with the Jimmy Fund Clinic Practice Director and Pediatric Scheduling Manager.
Work closely with the Clinical Trials Associate Directors and clinical trials team supporting cellular therapies.
Active participant in the development and implementation of strategies to expand and strengthen referring provider relations and engagement
Manage research and discretionary budgets for the program; responsible for collaborating with financial staff to ensure appropriate allocation of program staff to operating and research budget
Play a leadership role in the development and implementation of telemedicine applications to support the program
Lead the development of provider and clinician education applications, events, and CME lectures in support of the strategic goals of the shared care and continuity of care programs, including developing tools to educate off-site clinician
Serve as source of knowledge regarding the current national and international literature and operationalization of continuity of care for patients requiring complex treatment at regional academic medical centers followed by long term recovery and care at the most appropriate settin
Represent the HSCT program nationally, including presenting posters and submitting to publication
Build and maintain relationships with external customers, including payers, administrative and clinical contacts at other programs, and academic and community providers
5 years of experience in relevant field required. Project management experience required.
Supervisory experience preferred
