Description: Are you someone good with numbers and loves using Microsoft Excel? Our Research and Strategic Partnerships team (within Pratt Institute's Provost Office) is looking for an ambitious Budget and Operations Assistant who will be responsible for assisting in the daily operations of research projects and initiatives in the areas of finance and budgeting. This will include assisting in the management of research funds for proposals and/or grants for Pratt researchers in schools, centers, and other recognized research units. Duties will range from setting up and monitoring budget systems to processing invoices to preparing financial reports.
On a typical day, you will:
Assist in the development of grant proposal budgets as needed and in collaboration with the Grant Writing Specialist to ensure compliance with requirements stipulated in contracts and grant calls.
Support the preparation and management of annual budgets for Provost's Centers by assisting directors with formulation of budgets, integrating expense requests and needs into the funding availability and appropriate funding source, reviewing all requests to ensure compliance with policies and accounting systems of Pratt Institute and relevant funding sources.
Monitor budgets from external funds to ensure that projects remain within approved allocations.
Process invoices received by the centers from consultants and vendors, and monitor payments; execute invoices for center services rendered to outside entities as directed by center directors; process reimbursement requests. Process purchasing orders and pay purchasing invoices.
Qualifications: Education: Bachelors or Associates degree preferred or equivalent experience. Preferred professional background in financial management, non-profit management, accounting. Other educational backgrounds will be considered with relevant experience.
Experience: 2+ years experience working with grant and contract administration, budgets, and accounts. Experience in higher education or non-profit environments preferred.
Knowledge and Skills: Proficiency with spreadsheets; some exposure to accounting software. Excellent verbal and interpersonal skills are required. Must be able to work with internal teams, government agencies and corporation and foundation personnel in a collegial and businesslike manner. Must have good organizational, planning, facilitation skills. Must be able to produce/manage multiple projects under deadline pressures and with keen attention to detail. Must demonstrate intercultural competence with an understanding of the importance of diversity in higher education and the ability to work effectively with a wide range of constituencies in a diverse community.
