Provides essential administrative and event management support in service to the Center for Career and Academic Planning (CCAP), with special emphasis on supporting recruitment activities for Career Services. This involves scheduling employer campus visits, organizing department event details and logistics, processing invoices and payments, and marketing events to students. This is an on-campus, student-facing role. Applicants are strongly advised to visit the SJFC website and review information about Career Services and CCAP.
Recruiting Coordination: 60%
Schedule and manage on-campus and virtual employer visits including pop up tabling and informational sessions
Create and manage marketing materials to promote employer activities to students
Organize employer interview days including applicant solicitation, screening, and building schedules
Coordinate event management for job fairs including reservations, invoicing, catering, set up/tear down, and communications with employer participants
Review and approve all requests for employer accounts and job postings in Handshake
Invoicing and payment collection for fairs, tabling, and info sessions
Administrative assistance and reception: 40%
Coordinate front desk operations, including reception of guests/visitors/appointments, managing phone calls and messages, handling mail correspondence
Supervise front desk student workers
Coordinate logistics for events (room reservations, catering, correspondence)
Schedule meetings using Outlook
Provide customer service to students, alumni, employers, and employees
Monitor check-ins for appointments and referring students to appropriate staff for walk up help
Troubleshoot check-in kiosk
Provide administrative tasks for career badging program and with Employer Advisory Board
Assist in coordination of special receptions for internship supervisors and employer site visit hosts
Process purchases and reconcile bank statements
Monitor budget and pull reports as directed by supervisor
Assist with marketing efforts for the office which may include social media, print, and digital display board usage.
Other duties as assigned.
Education / Experience:
Associate's degree in relevant field (Bachelor's degree preferred), and at least one year full time professional experience requiring strong customer service skills and essential office support functions, preferably in a collegiate setting.
Competencies / Skills:
Technical: Required: MS Office Suite: Word, Excel, PowerPoint, Outlook. Expected: Google Suite: Drive, Mail, Sheets, Docs, Slides. Preference: Social media platforms IG, FB, Twitter and facility with Banner, Handshake, CRM (Salesforce, Zoho, Keap, etc.)
Dispositions: Prodigious competency with scheduling and logistics management; Excellent communication skills across a variety of contexts; High initiative to anticipate work and solve problems independently; Excellence in fostering effective workplace relationships
Supervision of Employees:
Student workers as needed.
Physical and Mental Demands:
Normal and typical physical demands of sitting, standing and walking throughout the course of the day; extended periods of computer use; lifting up to 50#; bending/kneeling; grasping/reaching. Mental demands include ability clearly think through processes; adapt to quickly changing priorities; absorb and respond to frequent interruptions and return to focused work; manage multiple projects concurrently; incorporate good judgment and analysis; protect confidential and sensitive information.
8:30-4:30 Monday-Friday with occasional evenings/weekends. This is a 12-month position.
