The University of Maryland School of Medicine, Office of Student Affairs is currently recruiting for a Senior Academic Services Specialist . The Senior Academic Services Specialist will help delegate work and ensure that service requests are addressed and completed in a timely fashion. This position will supervise subordinate staff and will report to the Executive Director. The position's regular responsibilities play an integral to the overall function of the Office of Student affairs as it is responsible for the Residency Match related functions, Student Organization Governance & Student Organization Fiscal Management.

Responsible for the full administrative coordination of the Residency Match Process (Application process determines what medical center our graduates will work at post-graduation). This position is responsible for leading administrative activities, coordinating, organizing and maintaining the operational and administrative functions of the residency match process. This includes:
ERAS - Electronic Residency Application Service
MSPE Process - Management of process and guidance to students related to applying to residency programs
NRMP - National Residency Match Process - (School Primary Contact) Service used by all US & Canadian medical schools to match for Residency Programs
SOAP - The Supplemental Offer and Acceptance Program (SOAP) is the process through which unmatched residency positions are filled by unmatched residency applicants during Match Week. Developed by the National Resident Matching Program (r) (NRMP (r)) in partnership with the Association of American Medical Colleges (AAMC)
Early Match (Specialty Programs) - There are 4 specialties that participate in an early match process: Neurology; Neurosurgery; Ophthalmology; Urology; Each specialty handles the process differently.
Military Match - Independent Match process for Medical Students who are registered for the Military Service
Match Day results / reporting - Confidential process of notifying students of their residency program assignments. Statistics and reports are also interpreted and presented to upper administration and the Dean.
Automated Student Affairs Processes (A.S.A.P.) - Medical Student Performance Evaluation (a.k.a. Dean's Letter) creation software and management system. Performs weekly data uploads and updates to student information as needed.
Presentations & public speaking - Expected to provide oral presentations and Q&A sessions to medical student classes.
Lead administrative activities for Student Organization Financial Management to include:
M&T Bank account - Approximately $200K fund balance
Credit Card & Check Book
Monthly reconciliation required
E-commerce transaction management - Authorize.net
E-commerce site fundraising site developer - Weebly e-Commerce
Fiscal Account management - QuickBooks
Monthly reconciliation provided to Bryan Mack for Campus compliance
Student Organization daily Fiscal transactions
Leading administrative activities, coordinating, organizing and maintaining the operational and administrative functions for Student Organization School of Medicine (SOM) Governance . This includes Policy Enforcement & Compliance, Policy Creation, coordination of Student Government elections (Student Council & Class Officers), and act as OSA Liaison for Student Leaders (elected Class officers & Interest group leaders).
Non-PO Requestor - Requirement for the new Quantum financial system. This is necessary to continue our process of requesting a monthly working fund check in the amount of the total Authorize.net revenue transactions that have be generated by student fundraising through the Weebly e-commerce site.
Other OSA Duties
Purchase Card Owner
Delegatory / supervisory authority - to select OSA staff members. Includes allocation of work and monitoring attendance.
Perform other duties as assigned.
Education: Bachelor's degree in Business Management or related field.
Experience: Five (5) years of administration of a program, preferably in higher education or healthcare setting.
Other: May consider a combination of directly related experience and education.
