General Overview Innovation is a 125-person business development unit of Mass General Brigham. The group is charged with commercializing the capabilities and discoveries of Mass General Brigham's 74,000 employees and faculty through industry collaborations, investing, consulting, company creation, licensing and IP management. It supports Mass General Brigham's four core hospital affiliates (Brigham & Women's Hospital, Massachusetts General Hospital, Massachusetts Eye & Ear, and McLean Hospital) and its 6200 Harvard Medical School faculty. Mass General Brigham is among the nation's most significant hospital systems and is the largest academic research enterprise with more than $1.7 billion in annual research expenditures. The Administrative Coordinator, a member of the Innovation Administrative Team, primarily performs a variety of administrative tasks for CCDS, as well as general administrative duties for Innovation. The Innovation Administrative Team provides fundamental support to the Mass General Brigham Innovation department and, while each member has a distinct role, all members contribute to the successful operations of the office. Team members support each other and work together to successfully complete tasks. The Administrative Coordinator shows flexibility, is skilled at multi-tasking, adhering to deadlines, and working in a team- oriented environment with strong communication skills. Principal Duties and Responsibilities Administrative Coordination (day to day direction from CCDS Leadership) • Calendar management, expense reimbursement and general administrative support for CCDS Leadership • Coordinate key administrative activities for the CCDS Leadership and Finance teams • Schedule and handle logistics for major meetings and events • Schedule and coordinate interviews for assigned team • Set up/break down meetings; including AV and teleconference • Order catering and invoice payment for group • Conference registration and travel arrangements for assigned group • Upkeep of office equipment in assigned area • Coordinating with the Innovation Office Manager, act as point for office and IS issues; maintain knowledge of AV Systems and maintenance contracts • Special projects as assigned by CCDS Leadership or Managing Director of Administration • Serve as back up for other administrative assistants General Marketing Support for CCDS and Innovation (reports to Director, Marketing) • Support planning and execution of outreach and marketing programs: including newsletters and press releases • Manage logistics for events with commercial partners and the World Medical Innovation Forum • Manage social media presence, curate and push out content as approved • Manage website content - ensure accuracy of content and create new content • Assist with content development and editing PowerPoint decks • Other general marketing projects and tasks as assigned by Director, Innovation Marketing Qualifications Qualifications • 3 - 5 years of experience in an office environment, preferably in a position with a focus on administration, marketing and/or event management. • Basic understanding of marketing and event principals and best practices. • Experience coordinating social media in a professional setting or course of study • Highly organized with an attention to detail. • Experience using MS Office programs and Google docs, plus Word Press, HootSuite, Constant Contact ESP, Power Point (including design and graphics) • Positive attitude with a willingness to pitch in and be a team player. • Works well under pressure and constantly shifting priorities. • Professional demeanor and ability to work well with C-Suite level staff. • Creativity and problem-solving ability EEO Statement Mass General Brigham is an Equal Opportunity Employer & by embracing diverse skills, perspectives and ideas, we choose to lead.
