General Summary/Overview Statement Reporting into the Business Support Manager - Virtual Care the Project Specialist will provide project support across of all business activities for the Virtual Care Department, including organizational readiness, communications, reimbursement and incentives, legal and compliance and data analytics for Virtual Care. The project specialist will be responsible for supporting the business activities related to implementation of Virtual Care projects across the organization in order to meet the overall program goals and milestones. This position will assist with maintaining project plans and action items, prepare & perform presentations/meeting materials, coordinate program events/learning sessions, assist with data and reporting activities, execute on the departmental strategy in the business support areas, and assist with other special projects as needed. The project specialist will follow direction from Virtual Care Program Managers and will work collaboratively with Mass General Brigham eCare, IS & enterprise virtual care and program site leads. This position requires excellent interpersonal skills, professional maturity, attention to detail, problem solving and an innovative mindset. Principal Duties and Responsibilities • Support Virtual Care Program Leads with day-to-day project tasks and operational activities related to Virtual Care Business Support. • Support execution of business plans, information sharing methods, and decision tracking framework. • Prepare/deliver presentations, meeting materials, minutes, and action plans. • Support multi-channel communication strategy for a variety of audiences across the various Virtual Care programs. • Coordinate and support site stakeholders with organizational readiness activities through application of standard methods and tools such as: identification and mitigation of impacts to the sites' operations, policies and structure; engagement and involvement of stakeholders in the sites' implementation activities; alignment of site leadership on the program objectives and implementation next steps; facilitation of stakeholder surveys and execution of activities based on findings; preparation and education of the departments for go-live; and validation that operational metrics are identified, baselined and tracked post. • Work with Virtual Care project teams and sites to identify the adoption approach, develop associated activities and timelines. • Collaborate with other Digital Health, Virtual Care teams (Training, Communications, Clinical Project Manager, etc.) to facilitate the change management process for sites. • Support legal, compliance, reimbursement and incentive initiatives through project coordination and execution collaboratively with legal and compliance subject matter experts, such as the Office of General Council, and the Virtual Care program managers • Tracks and reports status of initiatives that require legal and compliance review • Maintain legal and compliance requirements documents and support integration of requirements into program specific approaches • Coordinate with all teams within the Partners Virtual care programs as well as MGB site leads on process improvement projects. • Performs other duties as assigned Qualifications Qualifications • BS/BA or equivalent required. • 3+ years of related experience, customer service, communications, project management or healthcare setting • Must have 1-2 years project management experience. • Virtual Care/Telehealth experience preferred, not required Skills/Abilities/Competencies Required • Excellent organizational skills and attention to detail, manage multiple tasks and projects, meet deadlines, and manage to schedule. • Ability to problem solve and trouble shoot • Strong oral and written communication skills, with the ability to draft messages to individuals and audiences throughout the organization. • High degree of initiative and enthusiasm for learning new technology concepts and working with new tools and sources of information. • Ability to develop effective relationships with a broad array of people (different levels of management and clinical experts). • Strong PC / Microsoft application skills including Word, Advanced Excel, PowerPoint, and Outlook. Experience Workfront or similar project management tool, a plus. • Ability to work in a large organization • Ability to work independently Working Conditions • Remote/Assembly Row campus, with some local travel between Mass General Brigham sites. Supervisory Responsibility • N/A Fiscal Responsibility • May have financial responsibility of program budget as determined by leadership.
