The Offices of Graduate and International Enrollment Services develops and implements marketing, recruitment, and admission strategies in support of international, graduate, adult, online, and part-time student enrollment goals. The team develops strategic plans, conducts recruitment outreach, provides information and advising, and is responsible for the admissions and enrollment procedures and goals.
Detailed Job Description
Serve as Office Manager and provide administrative support for Graduate and International Enrollment services staff.
Serves as primary direct support to Sr. AVP, including budget, phone, email, calendar, correspondence, reports, and meetings.
Provides administrative support and produces confidential letters, reports, documents, travel itineraries and expense forms, etc.
Management and reconciliation of budgets. This includes bill paying and account reconciliation, preparation of Invoice Payment Forms, Petty Cash vouchers, Deposit Forms, wire transfers,Travel Expense Reports and verifying proper documentation for procurement card purchases, monitoring use of procurement cards.
Oversees daily office processes and work areas: supplies and storage, PC's, fax, phones, copier, laptops, mobile devices, etc.
Oversees office electronic calendaring system.
Assists with management of fileshares, public folders and other electronic office wide process documentation, divisional and departmental reports
Assists with development and production of publications, including editing, coordinating production, delivery, and mailing for part-time, graduate, military & veterans, corporate and online marketing initiatives.
Provides administrative support for international outreach and global programs including international partnerships, sponsored students and contract agreements.
Provides support for global outreach initiatives including:
Attending meetings, taking minutes, providing follow up and coordination of information for various RIT constituents involved in global outreach programs and initiatives
Organizes visit itinerary, meetings, luncheons, etc for international visitors
Coordinates and resolves/balances billing statements related to international recruitment/travel, etc
Monitors progress of students enrolled through offsite and partnership programs
Provides back up communication and support for international students and sponsors
Assists with credential preparation and verification for graduate applications.
Prepares passport and visa documents necessary for international staff travel.
Documents processes and procedures for international programs
Tracks and monitors student applications, enrollment information and student progress for partnership programs, offsite programs, sponsored student programs and other special government and agency contracts
Provides support and coordinates preparation for international outreach travel
Required Minimum Qualifications
Candidate must be a self-starter who is able to perform above responsibilities based on broad general guidelines.
Position involves a broad range of responsibilities and limited supervision.
Experience in higher education, especially with international students and adult learners.
Strong technical skills and database, Microsoft Office suite experience.
Customer service orientation and the ability to work with students, faculty and staff from a variety of backgrounds.
Strong organizational skills and ability to systematize and document processes and procedures.
