The Associate Registrar will develop, document, maintain, and support reporting for the Office of the Registrar. They will assist with maintaining the integrity of student records data. They will ensure compliance with enrollment reporting. The Associate Registrar will assist in enrollment reporting and ensure compliance with reporting enrollments, graduates and withdrawn students. Analyzes current business processes, recommends data and process enhancements, and manages projects to improve processes. They will build ad hoc reports for the Office of the Registrar as required. The Associate Registrar will create and gather documentation on requirements, training materials, reports and data analysis. They will also assess, formulate and evaluate technical functionality of the systems used within the Office of the Registrar. The Associate Registrar will assist with managing the staff and operations within the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintain current awareness of regulatory compliance policies and process.
Responsible for monthly enrollment submission to the National Student Clearinghouse and ensure that enrollment information is reported accurately to the National Student Loan Data Systems.
Assists with compiling data for external audits.
Oversees the degree audit system in Colleague, including, maintaining, and updating program/curriculum requirements.
Ensures effective and efficient use of information systems. Maintains knowledge of current and new emerging technologies. Makes recommendations on how best to utilize information systems to support student-services operations.
Identifies and communicates relevant and important information, issues, clarifications, updates and changes within and external to the Office of the Registrar as appropriate.
Assists in the interpretation of academic regulations and ensure that proper University academic record policies and procedures are understood and followed by all constituents.
Advises the Office of the Registrar on best practices in policies and procedures while maintaining and improving University functions.
Leads and participates in a multitude of short-term and long-term projects intended to enhance and improve processes used throughout the Office of the Registrar to serve students, faculty, staff, alumni, and government agencies.
Partners with Information Technology to resolve Student Information System issues related to systems upgrades, enhancements and troubleshooting. Assists Information Technology with defining requirements, testing, communication plans and training for system implementations.
Assist students, faculty and staff with all registrar related activities, policies and procedures.
Oversee record maintenance functions for all Office of the Registrar files, including imaged and archived files.
Assist with the training and supervising of staff within the Office of the Registrar.
Provide oversight of the Office of the Registrar in the absence of the University Registrar.
Other duties as assigned by the University Registrar.
OTHER DUTIES AND RESPONSIBILITIES
Perform other tasks and duties as required for the efficient operation of the office.
LICENSES, TOOLS AND EQUIPMENT
Personal computer knowledge in a Windows-based environment required.
Bachelor's degree required from an accredited institution. Master's preferred.
Supervisory experience preferred.
Proficiency with Microsoft Office required and proven ability to learn additional software applications including relevant campus database systems.
Experience using Crystal Reports, Business Objects or another reporting software.
Five years of experience in similar fields as outlined above; demonstrated experience in the use of automated office systems; and five or more years of broad-based experience within a Registrar's Office, Enrollment Management or Academic Services unit in a higher education environment.
Demonstrated experience of positive and proactive approaches in identifying problems, creating innovative solutions, managing projects, leading teams through collaboration, and implementing efficiencies and effectiveness using technology.
Must be able to work independently and as part of a team.
Knowledge of FERPA and other state and federal laws related to higher education.
