The AIDS Foundation of Chicago (AFC) mobilizes communities to create equity and justice for people living with and vulnerable to HIV and related chronic diseases. We envision a world in which people living with HIV and related chronic diseases will thrive, and new HIV infections will be rare. Our work focuses on improving health equity, preventing new cases of HIV, serving as a collaboration and knowledge center, and being a bold voice for change.
We are seeking for an individual to serve as our Housing Administrative Assistant. The Housing Administrative Assistant is responsible for providing clerical and administrative support to the Housing Stabilization team to ensure that AFC and The Center for Housing and Health is compliant with all funder regulations regarding rental assistance, including proper documentation, accurate client and landlord information, and timely rental payments.
This is a Part-Time (15-20 hours/week), Temporary position with an ending date of April 13, 2018.
Principal functions and responsibilities of this position include the following:
Rental Payment Processing
Assist with the processing of rental and utility paperwork for clients in assigned programs (i.e., LTRS, RCN, HHIL, RHHP, CHHP, Youth Program, Chronic Homeless Samaritan Program , Safe Start, CHH) and ensure funder compliance/requirements; verify payments before release;
Enter rental and utility payments in client tracking database (i.e., Client Track).
Program Coordination and Training
Assist with the review of emergency financial assistance and process paperwork for assistance;
Assist with the review of supportive housing program client assistance documentation from intensive case managers to ensure they are eligible and complete.
Quality Assurance and Data Entry
Input data into client tracking database (i.e., Client Track); file and archive off-site storage;
Review and update client files for current supportive housing client assistance information;
Cross-check enrollment data;
Assist with reports.
Provide administrative support including processing mail, filing, making copies and sending faxes;
Type and design general correspondences (i.e., memos, charts, tables). Proofread final documents for spelling, grammar and layout, making appropriate changes.
Assist with agency-wide activities as directed, including Annual Meeting, AIDS Run & Walk, World of Chocolate and others;
Protect organization's value and manage risk by keeping information confidential;
Perform other duties as assigned.
Associate’s degree OR 2 or more years of experience providing administrative support
1 or more years Human Services experience
Knowledge, Skills, and Abilities
Strong attention to detail and the ability to provide efficient, quality service to both internal and external customers.
Ability and willingness to respect and value the differences and perceptions of different groups/individuals.
Solid problem solving skills and the ability to quickly and accurately process multiple types of information and/or perform multiple tasks simultaneously.
Strong written communication skills along with the ability to use various Microsoft Office and/or database programs in order to perform job duties such as generating basic reports.

Anyone can become infected with HIV, but HIV and related chronic diseases disproportionately impact certain populations in distinct geographic areas. We can have the greatest impact on the HIV epidemic by focusing our efforts on those most-impacted by HIV, based on epidemiological data and unmet need:
• Young Black gay and bisexual men
• Transgender women of color
• Black women living in high-incidence areas
• Latino gay and bisexual men
Factors that drive the HIV epidemic and health inequities that we will address include:
• Sex work
• Drug use
• Lack of access to health care
